Privacy Statement

​The Royal Air Force Model Aircraft Association (henceforth known as “The Association”) is committed to protecting your personal data. We fully comply with the Data Protection Act 1998 and are also fully compliant with the General Data Protection Regulation (GDPR). We don’t conduct any profiling of sensitive personal data, we don’t make any decisions based solely on automated means and we do not transfer your data without a data subject’s express permission.

​We are not required to appoint a data protection officer under the terms of Article 39 of the GDPR. Instead, the Association’s data protection policy is enforced by our Executive Committee and co-ordinated by the Membership Secretary. By becoming a member of the RAF Model Aircraft Association, you are agreeing to be bound by the terms of this statement.

The Information We Collect and Retain

​

​We work on the basis of only collecting, storing and using personal member information that is essential for maintaining and managing the Association.  We obtain information about you when you apply to become a member of the Association via the online membership application process.

​

We are required to retain a certain amount of information in order to manage the membership effectively and in line with current financial practices.  The legal base for the processing of your personal data is to enable the Association to fulfil our contractual obligations and provide membership services.

 

What type of information is collected about you?

​

​Association personal member data is held on the BMFA JustGO and Wix databases.

 

BMFA JustGO; this system is the Association’s main method of recording members personal and contact details along with processing payments and all other membership administration. Information held on BMFA JustGO database includes;

  • Name,

  • Address,

  • Phone number,

  • Email address,

  • Affiliate club,

  • BMFA number

 

Although some payment details such as payment date/time is logged, no payment card details are retained on the BMFA JustGO database.

 

Wix; a second database is held on the Associations WiX based website but information is limited to;

  • Name

  • Email address

​In addition to the membership databases, our website has the ability to use Cookies which collect personal data. This is in order to improve the way the website works for you. Cookies collect data about your browsing patterns and non-specific geographical information. Whilst at the present time we do not use this functionality, we reserve the rights to use it in the future. Any data captured through the use of cookies will be “anonymised” as soon as it is collected and you will not able to be identified from it at a later date.

 

Who has access to it?

BMFA JustGO; This is a secure database via password access. It is a system maintained and controlled by the BMFA. Members are invited to register to allow access to their own accounts in order to check their details are correct or change them if necessary. Certain executive committee members act as BMFA JustGO administrators and have access to database information in order to use and maintain it as part of their role. Which members have access and how much data they can see will be at the discretion of the Chairman. Information is not allowed to be removed from the database and stored elsewhere.

​Wix; Access to this database is also controlled by password and again is only accessible by certain members of the committee if their role requires it.

We will not sell or rent your information to third parties.

​

We will not share your information with third parties for marketing purposes.

​

All members of the Association must also be members of the BMFA-this is a pre-requisite of membership to the Association and affiliated clubs. BMFA membership can be arranged through the Association or independently but either way, by joining the Association you give consent for your personal data to be shared with the BMFA to enable full provision of BMFA membership services. Please be reassured that we will not release your information to third parties beyond the Association unless we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

 

How long do we retain your information?

​

We will hold your personal information on our systems for as long as is necessary to carry out our obligations in relation to your membership, or as long as is set out in any relevant agreement between us.

​

Where an individual persons BMFA membership lapses your information will be securely kept on the BMFA JustGO database for a period of 7 years for the purposes of maintaining achievement scheme records, after which your information will be deleted.

What the Law says about protection of personal information

​

The Law on Data Protection is derived from various pieces of legislation and including the Data Protection Act 1998 and the GDPR which will become enforceable on 25 May 2018.  The GDPR states that personal data (information relating to a person that can be individually identified) can only be processed if there is a lawful basis to do so. Activities like collecting, storing and using personal information would fall into the GDPR’s definition of processing. The GDPR provides six lawful basis (reasons) under which personal information can be processed (used) in a way that is lawful. For the processing to be permitted by law, at least one of the lawful basis must apply.

The three lawful basis that the association has identified as being applicable to our processing of your personal data are:

  • Legitimate Interest (see below)

  • Contract (recruitment and employees)

  • Legal Obligation (payroll & pensions)

 

What is Legitimate Interest?

​

In order for an organisation to use legitimate interest as the lawful basis for processing personal data it must have a genuine and legitimate reason for doing so and that use does not harm any of your rights and interests as an individual.

Legitimate Interest to process your information; we aim to be clear about what information we collect, to enable you to make meaningful choices about how it is used.

These are the reasons why the Association uses legitimate interest to process personal data: to ensure accurate communications with Association members that we regularly need to communicate with.

​

To receive or make payments to/from individuals and businesses and ensure that all accounting information is retained for the requisite timescale.

 

How Do We Use Your Personal Data?

​

​We only use your personal data for the reason we originally collected it and in the way in which you would reasonably expect. That means to provide you with the services and information you have requested and for any associated administration to enable us to continue providing those services.

​

We will never sell your details and will ask your permission before passing your details on to any third party.

We may use your information to:

 

  • Process your membership,

  • To carry out our obligations arising from your membership,

  • Seek your views or comments on matters relating to the club and model aircraft flying,

  • Notify you of changes to our services,

  • Send you communications which you have requested and that may be of interest to you. These may include information about club events and contests and other club related matters, also information from the Association that may be of interest.

​Wix; this database is utilised to send out general Association communications. Any general communications will be sent in such a way that your personal details will not be shared with the rest of the mailing list. This will be accomplished either by Wix website functionality or by the sender directing the email to themselves and the mailing list being BCC’d.

Rectifying, Blocking and Erasing Your Personal Data

​

​You have the right to review your personal data and ask that it be amended, erased or blocked from further use if we have got any of the details wrong or if our using your data is causing you distress. We will consider all requests to erase your personal data whenever the lawful basis that we have used to process it permits.  If we cannot erase the data, we will “anonymise” it wherever possible. Social Media

​

​We try to moderate the content of our social media platforms but we don’t have the ability to remove Facebook ‘likes’. Our digital team will try to challenge rather than delete inaccurate comments, but we will remove anything that is:

  • Slanderous

  • Libellous

  • Discriminatory

  • Abusive

  • Contains offensive language

 

Our newsletters, event reports and articles are largely based on content shared within our closed Facebook groups or on other social media outlets using the hashtag #RAFMAA. By posting your content on social media you are also giving permission for it to be used within Association communications or on our website. We thank our members for so freely sharing this content-it would be impossible to create our publications without these contributions.

​If you have concerns or a complaint about the way in which we utilise social media please contact us using the details listed above. Please be aware that we do not control the social media content of Association members or anyone else posting outside of our closed groups. If you feel something has been posted somewhere on social media about RAFMAA which is inappropriate or derogatory then please bring it to our attention and we will pass on any concerns to the owners of whatever platform the content has been posted on.

​All photography on our website is reproduced with kind permission of the photographers concerned. Any photographs forwarded to the Association for publishing will be assumed as having the consent of the subject and the photographer for their publishing.
